Tag transactions and add notes
On this page
Tags are labels you choose, such as Reimbursable or Vacation, and one transaction can carry several. A note is a line of free text on one transaction. Ask your AI to add either, and later you can search by the tag or read the note back. To find the transactions first, see ask about any transaction.
How to do it
- Tell your AI which transactions you mean. A merchant, a date range, an amount or an account all work.
- Give the tag exactly as you want it stored, or the text of the note.
- Say whether the tag goes alongside the transaction's current tags or replaces them. Your AI can add a tag, remove one, or replace them all.
- For many transactions, your AI may use a bulk edit. You see a preview first, and nothing is saved until you confirm.
Tag my last three Zipline Rides charges with the tag "Reimbursable".
Add this note to my biggest FreshMart charge last month: "split with roommate".
What you'll see
For the first prompt, your AI finds the three most recent Zipline Rides charges, tags them, and tells you which ones it tagged with their dates or amounts. If it uses a bulk edit, it shows the preview and asks before saving.
For the second, your AI finds last month's FreshMart charges, picks the largest, adds the note and tells you which charge it changed.
Good to know
- Tags are matched exactly. "Reimbursable" and "reimbursable" are different tags. A search takes one tag at a time. See ask about any transaction.
- A tag edit replaces tags unless your AI says add. If your AI doesn't ask to add or remove, the tags you name replace the transaction's current ones.
- Single edits save straight away. Changing tags or a note on one transaction never stops for the check that asks you to confirm undoing a recent category. See why your AI asks "are you sure?".
- Bulk edits handle tags, not notes. A bulk edit can add, remove or replace tags on up to 500 transactions per pass, and the preview doesn't tell you when more matched. Notes and merchant names change one transaction at a time. See recategorize many transactions at once.
- Bank updates can drop tags. When your bank sends a new version of a synced transaction, for example when a pending charge posts, Pennyweight keeps your note but not your tags. Check tags on recent bank transactions after they post.
- A new note replaces the old one. A transaction holds one note. To keep the old text, ask your AI to include it in the new note.
- Notes aren't a search filter. You can't ask for every transaction whose note mentions a word and get a filtered search. Search results include each transaction's note, so your AI can read through them. Narrow by merchant or date first.
- Totals by tag group tag combinations. When your AI totals spending by tag, a transaction with two tags counts under the pair, not under each tag. For one tag's total, ask your AI to search for that tag alone.
- Budgets can follow a tag. A budget can track a tag instead of a category. See set a monthly budget.
- Every edit has a reason. Your AI records why it made each change. The reason is kept on the transaction and in your audit trail.
- On the web, notes show and tags don't. The transactions list shows a note under the merchant name, and the transaction's detail panel shows it as Note. Tags don't appear on the web, so ask your AI to list them.
- Tagging doesn't move a transaction. A tag such as "Business" doesn't put a transaction in another ledger. See move a transaction between ledgers.
